How personal data is handled

Data, purposes and legal bases

  • Account data: name, email, authentication credentials and provider account identifier, verification and password-recovery records, used to create and secure the client area. Legal basis: steps requested before contracting, contract performance and legitimate interests in account security.
  • Project data: requirements, source and delivered files, language choices, messages, deadlines and order history. Legal basis: pre-contractual steps and contract performance.
  • Payment and billing data: quote, payment status, transaction identifiers and information required for invoicing. Legal basis: contract performance and legal accounting/tax obligations. Card data is handled by Stripe and is not stored by AQ Translations.
  • Security data: session identifiers and technical logs used to protect accounts, prevent abuse and diagnose failures. Legal basis: legitimate interests in service security.
  • Rights requests: request type, contact details, status and correspondence. Legal basis: compliance with legal obligations.

Recipients and international processing

Data may be processed by OpenAI and Cloudflare infrastructure used to host and store the website, Stripe for payments, Brevo for operational emails and optional support chat, Google Analytics for consented audience measurement, and the identity provider selected by the user (Google, Microsoft or Apple). Public authorities may receive data where legally required. Providers may process data outside the European Economic Area under an applicable adequacy decision or appropriate safeguards such as standard contractual clauses.

Retention

Account, project, communication and file data is kept while needed to provide the service and handle claims. When no longer necessary, it is deleted or restricted; records required by tax, accounting or legal rules are retained only for the applicable statutory periods. Security sessions expire automatically.

Your rights

You may request access, rectification, erasure, restriction, portability or objection through Account & privacy or by email. You may also complain to the Spanish Data Protection Agency . Identity may be verified before acting on a request. Statutory exceptions can apply, particularly to records that must be retained.

Datos y finalidades: se tratan datos de cuenta e identificación para crear y proteger el área privada; requisitos, archivos, idiomas, mensajes y plazos para preparar y ejecutar el encargo; importes, estado del pago e identificadores de transacción para cobrar y cumplir obligaciones fiscales y contables; datos técnicos de sesión para la seguridad; y datos relativos a solicitudes de derechos para cumplir obligaciones legales.

Bases jurídicas: medidas precontractuales solicitadas por el cliente, ejecución del contrato, cumplimiento de obligaciones legales e interés legítimo en proteger el servicio. AQ Translations no almacena los datos completos de la tarjeta.

Destinatarios: la infraestructura de OpenAI y Cloudflare utilizada para alojar y almacenar el sitio, Stripe para pagos, Brevo para correos operativos y el chat de atención opcional y, si el usuario lo elige, Google, Microsoft o Apple para iniciar sesión. También podrán recibir datos las autoridades cuando exista obligación legal. Los tratamientos fuera del EEE se basarán en una decisión de adecuación o garantías apropiadas, como cláusulas contractuales tipo.

Conservación: los datos se conservan mientras sean necesarios para prestar el servicio, atender reclamaciones y cumplir los plazos fiscales, contables o legales. Después se eliminan o bloquean. Las sesiones de seguridad caducan automáticamente.

Derechos: puede solicitar acceso, rectificación, supresión, limitación, portabilidad u oposición desde Cuenta y privacidad o por correo electrónico. También puede reclamar ante la AEPD. Podrá solicitarse la verificación de identidad y aplicarse excepciones legales, especialmente respecto de documentación que deba conservarse.

Files supplied for translation

Clients must have authority to share the uploaded material and should remove personal data that is unnecessary for the translation. Do not upload special-category or highly sensitive data unless it is essential and agreed in advance. Confidentiality obligations apply to project content.

Essential functions and optional services

AQ Translations uses first-party cookies that are strictly necessary for account and owner authentication. The Brevo Conversations support widget and Google Analytics are optional and remain disabled until the visitor allows them.

The chat and analytics choices are stored in the visitor’s browser and can be changed at any time through “Cookie settings.” Payment and external sign-in providers may set their own cookies after the user actively chooses those services. Their policies apply in those environments. AQ Translations does not load advertising cookies.

Terms for translation services

  1. Request and quote. Sending project information is a request for a quote, not a paid order. The binding order is created when the client accepts the custom quote and completes payment.
  2. Scope. The order includes only the language pair, files, word count or duration, deliverables, revisions, price and deadline stated in the custom offer and agreed conversation. Material changes may require a new quote.
  3. Prices and taxes. The final price and currency appear before payment and includes applicable taxes for consumers. The client must provide accurate billing information when an invoice is requested.
  4. Payment. Payment is processed securely by Stripe. AQ Translations does not store complete card details. Work starts according to the start option selected by the client.
  5. Delivery and revisions. Delivery is made through the private client account by the agreed date. Included revisions correct translation errors or deviations from the agreed brief; changes to source text or scope are additional work.
  6. Client responsibilities. The client must provide legible, lawful material, disclose relevant terminology and have the rights and permissions required to share it. The client remains responsible for final review where publication, legal filing, medical use or safety-critical use requires specialist validation.
  7. Confidentiality and intellectual property. Project material is treated confidentially and used only to provide the service. After full payment, rights in the commissioned translation are transferred to the client to the extent legally transferable, excluding pre-existing tools, glossaries and know-how.
  8. Cancellation and refunds. Statutory consumer withdrawal rights apply as described below. Outside those rights, refunds depend on work already performed and any specific custom-offer terms. Defective work will be corrected within a reasonable time.
  9. Complaints. Contact AQ Translations by email first so a solution can be attempted. Consumers may also use the competent public consumer-information or alternative-dispute-resolution service. The former EU ODR platform is no longer operational.
  10. Liability. Nothing excludes liability that cannot legally be excluded, including mandatory consumer rights. For business clients, any agreed limitation must be reasonable and stated in the custom offer.

Condiciones completas en español

  1. Solicitud y presupuesto. Enviar la información del proyecto es una solicitud de presupuesto, no un pedido de pago. El contrato se formaliza cuando el cliente acepta el presupuesto personalizado y completa el pago.
  2. Alcance. El pedido incluye únicamente el par de idiomas, archivos, número de palabras o duración, entregables, revisiones, precio y plazo indicados en la oferta y conversación aceptadas. Los cambios sustanciales pueden requerir un nuevo presupuesto.
  3. Precio e impuestos. El precio total y la divisa se muestran antes del pago e incluyen los impuestos aplicables para las personas consumidoras. El cliente facilitará datos de facturación exactos si solicita factura.
  4. Pago. Stripe procesa el pago de forma segura. AQ Translations no almacena los datos completos de la tarjeta. El trabajo comienza según la opción elegida por el cliente.
  5. Entrega y revisiones. La entrega se realiza en la cuenta privada dentro del plazo acordado. Las revisiones incluidas corrigen errores de traducción o desviaciones respecto del encargo; los cambios en el texto fuente o en el alcance constituyen trabajo adicional.
  6. Obligaciones del cliente. El cliente proporcionará material legible y lícito, comunicará la terminología relevante y contará con los derechos y permisos necesarios para compartirlo. Seguirá siendo responsable de la revisión final cuando la publicación, presentación legal o uso médico o crítico para la seguridad exija validación especializada.
  7. Confidencialidad y propiedad intelectual. El material se tratará confidencialmente y solo para prestar el servicio. Tras el pago completo, se ceden al cliente los derechos sobre la traducción encargada en la medida legalmente transmisible, sin incluir herramientas, glosarios y conocimientos preexistentes.
  8. Cancelaciones y reembolsos. Se aplican los derechos de desistimiento indicados en la sección siguiente. Fuera de ellos, el reembolso dependerá del trabajo ya realizado y de la oferta. Los defectos se corregirán en un plazo razonable.
  9. Reclamaciones. El cliente puede escribir primero a AQ Translations. Las personas consumidoras podrán acudir a los servicios públicos de consumo o mecanismos alternativos competentes. La antigua plataforma europea ODR ya no está operativa.
  10. Responsabilidad. No se excluye ninguna responsabilidad que legalmente no pueda excluirse ni los derechos imperativos de las personas consumidoras.

WITHDRAWAL · DESISTIMIENTO

Consumer cancellation rights

Consumers generally have 14 calendar days from conclusion of a distance service contract to withdraw without giving a reason. To exercise the right, use the online withdrawal function for a two-step confirmation and downloadable acknowledgement, or send an unequivocal statement to andresquintero@me.com identifying the order.

If the consumer expressly asks AQ Translations to begin during the withdrawal period and later withdraws before completion, the consumer may be charged a proportionate amount for work already performed. Once the service has been fully performed after the consumer’s prior express consent and acknowledgement, the right of withdrawal is lost. A consumer may instead select that work begin only after the 14-day period.

Derecho de desistimiento en español

Las personas consumidoras disponen, con carácter general, de 14 días naturales desde la celebración de un contrato de servicios a distancia para desistir sin indicar motivo. Para ejercerlo, pueden utilizar la función de desistimiento en línea con confirmación en dos pasos y justificante descargable, o enviar una declaración inequívoca al correo electrónico indicado e identificar el pedido.

Si la persona consumidora solicita expresamente que AQ Translations empiece durante el plazo de desistimiento y desiste antes de terminar, podrá exigirse el importe proporcional al trabajo ya realizado. Cuando el servicio se haya ejecutado completamente, tras el consentimiento expreso previo y el reconocimiento de que se perderá este derecho una vez completado, el derecho de desistimiento quedará extinguido. La persona consumidora puede elegir que el trabajo comience después de los 14 días.
